Executive Assistant Job DescriptionYou will be surrounded by high-level, creative minded people who like to have fun, as much as they like working hard to create amazing brand experiences. The Nitty Gritty:•Provide support to Global Chief Creative Officer and other assigned team members, staying in close communication with each to ensure that you are on top of his or her evolving needs•Trust worthy: You practice impeccable discretion when presented with senstive company, client and personal information•Problem solver: You efficiently and proactively find resourceful solutions; you know when to trust your instincts and when to ask for help•Owner: You’re self-motivated and have a bias for action, exercising sound judgement when making time sensitive decisions•Service oriented: You anticipate problems and prepare primary and alternate solutions as needed in calm and efficient manner•Hustle: You’re unfazed with constant context-switching; you know how to prioritize, focus, and when to go the extra mile
A Day in the Life:•Proactively manage complex calendaring and scheduling conflicts•Manage complex travel arrangements for assigned team members•Coordinate meetings with internal teams and clients including: scheduling, booking conference rooms, ordering food, set up and clean up•Schedule and coordinate external client meetings as needed•Help plan offsite events, anywhere from 10 – 100 people•Produce accurate and timely expense reports, follow up to make sure submitted expenses are paid in a timely manner•Respond to phone calls/texts, maintain contact as needed with team when they are out of the office/traveling•Manage assigned meeting, training and group calendars•Assist with projects and tasks as needed•Provide coverage for other assistants when necessary Requirements:•Minimum of 5+ years of experience supporting high-level executives in a fast-paced environment supporting multiple individuals•Bachelor's degree or equivalent level of work experience•Exceptional work ethic, proactive mindset, and a sense of humor•Strong problem-solving skills and the ability to anticipate and resolve issues before they occur
