Summary and Scope of Position:

The PCNA finance team will undergo a reorganization in order to enhance the quality of the data provided to the business and deliver efficiencies. The Vendor Engagement Analyst is responsible for the vendor onboarding process, including all communications with third parties for proper documentation, assistance with vendor contracts and creation of all new vendors in Altair.

Responsibilities:

  • Management of new vendor requests within LoadingDoc within 24-28 hours
  • Communication with vendor for proper documentation (Tax forms, Banking, NDA and Business Classification)
  • Maintain all diverse vendor classifications and updates within LoadingDoc. Includes obtaining all certifications and annual follow up
  • Review of vendor scope of work in order to ensure proper contracts are secured, based on level of engagement (Standard Provision Agreements for Motion, Digital, etc.). Includes remediation of redlines from vendors and managing communications between Legal and the vendor
  • Creation/Modification of New Vendors in Altair and ensuring all documentation is supported for review by Corporate Accounting and Master Data Management team (MDM)
  • Assist with all audits (external, client and internal audit) by providing supporting documentation

Other

  • Liaison between the Agency Requestors, Finance and Legal (Re:Sources), relative to the vendor engagement process
  • Maintain accurate and easily accessible work files
  • Maintain a positive approach towards all projects, including those that are outside typical job responsibilities
  • Maintain a professional demeanor towards management, supervisors, peers and employees at all times
  • Any miscellaneous projects and duties as assigned

Qualifications

Education/ Work Experience:

  • Bachelor’s degree in Business or related field of study required ü 2+ years relevant work experience preferred
  • Proficiency with computer applications including Excel, and Word

Knowledge /Skills

  • Demonstrate the ability to apply knowledge of accounting principles to the Agency’s system and processes
  • Ability to maintain absolute confidentiality of information
  • Excellent organizational and problem-solving skills
  • Must be able to work independently as well as in a team environment
  • Must be able to maintain professionalism when addressing issues and problems involving a variety of people
  • Ability and eagerness to learn quickly in a rapidly changing fast paced environment
